Before building staff can submit hours, property teams must configure Time Cards in the dashboard. This setup section walks you through the essential steps: enable the Time Cards module, create the site time types and entry rules, and configure user profiles so building team members can submit hours and building admins or managers can approve them. Once those items are complete, submitted weeks will appear in the dashboard where approvers can triage and finalize them for payroll. If you do not see the Time Cards module in your dashboard, contact your Cove Customer Success Manager or Cove Technical Support.
Time Cards list
A searchable, filterable list of employee-week entries for your site or portfolio. Rows show employee, week range, total hours, and status; open any row to view day-by-day entries, the activity log, and make adjustments.
Needs approval / Approval table
The triage view for Submitted weeks, showing a pending count and key columns (employee, week, total hours, submission time, status). Use quick actions to approve, deny with a note, or open a week to adjust; filter by site, employee, or date range.
Time Card Setup
Where property teams configure site rules and categories: add or edit time types (Standard, Overtime, Vacation), require notes, set the time increment and daily maximum, and manage profile/role flags such as “Can Submit Time Cards?” so staff can submit and approvers can act.
Configure Building Team Member Profiles
Enable a building team member’s profile so they can add hours to their time card and submit weekly time cards from the mobile app.
- Navigate to the Directory module and click Staff. Find the profile of the building team member.
- Click the edit icon and scroll down to the Can Submit Time Cards? section

Check the box and click Save.
Once updated, the user will be able to submit hours on their mobile app, and their profile will appear in the Time Cards table.
Configure Time Types
Set the time entry increment and daily maximum so all entries are consistent and auditable.
- Navigate to the Time Cards module and click on Time Card Setup.
- Click Add Time Type and fill out the form for each individual time type:
- Time Type Name: Standard, Overtime, Vacation, etc.
- Require Note: Check if you want users to be required to add a text note for every time entry of this time type entered

Click Save and repeat for each time type.
