For property teams, the dashboard is the central place to validate, manage, and finalize employee time cards for payroll. Once your module is configured and your building team members start adding their hours from the mobile app, submitted weeks appear in the Time Cards list and Needs approval table where admins and managers can review, adjust, deny, or approve weeks for payroll. Approved weeks are locked and ready for payroll; denied weeks return to the employee as editable for correction.
Time Cards list: A searchable, filterable list of all weeks for your site or portfolio. Rows show employee, week dates, total hours, and status (Not-Submitted, Submitted, Denied, Approved). Open any row to inspect daily entries, view the activity log, and make adjustments. Each row represents one employee-week and includes submission metadata (who submitted and when); you can export the list for payroll reconciliation.
Needs approval / Approval table: The triage view for weeks that require approver action. It shows a numeric pending count, key columns (employee, week, total hours, submission time, status), and quick actions to approve, deny (with a note), or open a week to add adjustments. This view is scoped to Submitted Time Cards and supports bulk actions and quick inline decisions to speed daily review.

Review submitted weeks
Validate entries quickly and consistently before approving or denying.date
- Use Needs approval to triage priority submissions or Time Cards list to browse and filter all weeks.
- Open the week and verify start/stop or total hours, confirm the correct time types, and read any employee notes.
- Check submission metadata (who submitted and when) and the activity log for edits and timestamps so the submission is complete and auditable.
- Confirm the site/time zone and watch for unusually large weekly totals or overtime that may need follow-up.
Approve a Time Card
Perform the review above, then finalize a submitted week so it is locked and ready for payroll.
- Open Needs approval or Time Cards list, locate the submitted week (bulk select if needed).
- Open the row and run the review checklist.
- Click Approve. The status updates to Approved and the employee can no longer edit that week.
Deny a Time Card (return for correction)
Perform the review above, then return a week to the employee for correction.
- Open the submitted week.
- Click Deny, enter a clear deny note explaining required changes, and submit.
- The status changes to Denied; the week unlocks for the employee and the deny note is visible to guide corrections.
Edit & Adjust Time Card
Use this to correct missed entries, reclassify hours (for example move time to Overtime), or add PTO, split shift blocks, or billable hours. Always add corrections as separate entries, choose explicit time types, and include a brief admin note.
- Open Time Cards > Time Cards list or Needs approval and open the employee’s week.
- Click the hyperlinked number Edit or Add hours for the day that needs correction.
- Choose the correct time type, add a short admin note explaining the change, and click Save. The activity log records who made the change and when.
- If the week is already approved, the preferred approach is to deny it so the employee can correct and resubmit when payroll timing allows.
Audit and activity log
Use the activity log to reconcile totals and investigate discrepancies.
- Open a submitted or approved week.
- Click Activity or History to see all edits, who made them, and when.
- Use the log for payroll reconciliation or to resolve questions about entries.
Filtering, sorting & reporting
Focus review and reporting efforts efficiently.
- From Time Cards list or Approval table, apply filters (Date range, Employee, Status, Site).
- Sort by employee, total hours, or submission date to prioritize work.
- Export or generate reports for payroll reconciliation and management review.
