All app or dashboard users need a profile in your building dashboard. A user profile can be created in a few ways:
- Manually add users one at a time
- Bulk upload users
- Add tenant email domains for user self-enrollment
Manually Add A User
- Navigate to the Directory module of the dashboard, and click on the Users sub-page.
- Click on +New in the upper right, and from here the user form/profile will appear.
- Fill out the User Profile. There are only five fields required to create a user profile-the rest are optional:
- First Name
- Last Name
- Company: Choose the user's company from the dropdown. If their company/ organization does not yet exist, click Add Tenant to create a tenant and then assign the user to it.
- Email: Pro tip: This email will be used for the user's login, so double-check that it's accurate—if it's incorrect, the user won’t be able to log in.
- User Role: This is what will determine the user's level of access to the app and/or dashboard
Note: By default the Account Status is set to Active- this is what allows users to log into the app and dashboard. If moved to Suspended, that user would not be allowed to log into the app or dashboard.
We recommend suspending a user from the system instead of deleting them so that you have a record of their profile existing.
Bulk Upload Users
- Navigate to the Directory module of the dashboard, and click on the Users sub-page.
- Click on Upload in the upper right.
- Follow the directions on the Upload page (The Upload page will always be updated if there are every changes to the process). Below is an overview of the steps:
-
- Download the user profile spreadsheet.
- Add all user information on the spreadsheet; each line will represent an individual user.
- Download the spreadsheet as a .csv.
- Upload the .csv into the dashboard.
-
Add Tenant Email Domains For User Self-Enrollment
If one of your tenants uses a shared email domain for their work addresses, you can add that domain to their tenant pages. Anyone with a matching email address will then be able to download the app, self-enroll, and be automatically added to the appropriate tenant group in your building directory.
Notes:
- All user's who enroll this way will be automatically assigned as a Regular User. You can change their role in their User Profile.
- If someone loses access to their work email (they’ve left the company), they’ll no longer be able to log in to the app.
- Navigate to the Directory module, and click on the Tenants sub-page.
- Click on the Edit icon next to the tenant name.
- Add the email domain in the Email Domains field. If you'd like to add multiple email domains, separate each with a comma.
- Click Save.
