The Cove Reservations module allows you to easily manage all of your amenity spaces. Fully customize each space and configure the key details, workflows associated with the space, booking constraints, billing, and visibility.

Amenities are organized into categories and individual amenities within those categories. Create a category and then create an amenity.

Reservation Type

  • Slot: For shared spaces or resources that allow multiple reservations at the same time (e.g.- Allowing 6 people in the gym each hour).
  • Standard: For private spaces or resources that only allow 1 reservation at a time (e.g.- Meeting Rooms)
  • One-of-Many (e.g.- A number of phone booths)

Minimum and Maximum Booking in Advance

  • (optional) Max Time Book in Advance: User cannot book more than this determined time in advance. Available in days, weeks, months, and years, and if None is selected there will be no limit.
  • (optional) Min Time Book In Advance: User must book in at least the determined time in advance. Available in days, weeks, months, and years, and if None is selected there will be no limit.

Book in Advance Settings Use Cases:

The maximum booking time means a user cannot book a space more than that amount of time ahead — so if you choose 10 days in advance, the 10-day mark is when it becomes available to reserve.

The minimum booking in advance is the minimum amount of notice you need for someone to reserve. This often goes in conjunction with reservation approvals: if your space is set up so that someone on your team needs to approve reservations, this grants time for your team to approve them.

Use Case Example 1:

Event Space (rooftop terrace): must be booked at least 3 days ahead and no more than 90 days ahead.
Event space requests need approval, and the property team needs a few days to review them. The 3-day minimum gives them that time. The 90-day limit lets tenants plan events early without one tenant reserving every date for the year.

Use Case Example 2:

Conference Rooms: can be booked right up until the meeting starts, and no more than 14 days ahead.
Meeting rooms don’t need approval, so you can book one at the last minute. The 14-day limit keeps rooms available for everyone instead of a few people booking the same time slot months out.

In short: the minimum gives your team time to prepare or approve, and the maximum keeps booking fair for all tenants.
