Reservation approvals allow property teams to control how and when amenity spaces are booked. If you’d like your team to review requests before a reservation is confirmed, you can require approval for specific amenity spaces. For each space, you can choose whether reservations are automatically approved when the space is available or require manual approval from your property team. 


Setting Up The Reservation Approval Process

From within the individual amenity space:

  • Under Reservation Approval Requirements, select require approval prior to reservation.

  • Under Notify Reservation Emails, add email addresses to receive notification when the space is booked.
    • Note: This only needs to be completed if you would like for there to be a different person notified based on each space. If you would like the same person to receive notifications for all approvals, please visit the Property Info section of the dashboard and enter email addresses there.

From here, continue setting up your amenity space and click save at the end.

Please note: Building Admin roles can bypass amenity approval process, so that bookings will be auto-approved. 


Approving and Denying Reservations

As soon as a reservation is requested, it will appear in the Requested tab within the Reservations section of the dashboard.

Approving a Reservation 
To approve a reservation request, click the thumbs up icon.

Denying a Reservation

To deny a reservation request, you have two options:

  • Click the thumbs down icon to deny the request immediately.

  • Click the magnifying glass to open the reservation side window, where you can optionally add a denial note before denying the request.

Denial notes can only be added from the reservation side window and are not available when using the thumbs-down quick action. If a denial note is added, it will be included in the denial email sent to the requester.

After a reservation is approved or denied, it will move to the All Reservations tab and display a status label such as Approved, Denied, Confirmed, or Canceled.

After a reservation is approved or denied, it will be moved to the All Reservations tab, and will have a confirmed, approved, denied, canceled tag next to it.

Important Note: once a reservation is approved or denied that action cannot be undone.


What Users Will See During the Approval Process

Reservation Approvals

  • Requested appears below the reservation until it‘s approved or denied.
  • As soon as a reservation is approved:
    • the user will be sent a confirmation email
    • the reservation will now say confirmed
    • the reservation will stay in the user’s reservations list.

Reservation Denials

  • Requested appears below the reservation until it‘s approved or denied.
  • As soon as a reservation is denied:
    • the user will be sent an email. If you added a denial note, the note will be included in the email. 
    • the reservation will disappear from the user’s reservations list.
