Announcements allow property teams send messages to tenants and staff across multiple communication channels, including: email, push notifications (and the in-app Announcements inbox), SMS, voice, multi-channel. Use announcements to share building updates, promote events, send emergency alerts, or communicate anything else your tenants need to know. When sending from the dashboard or mobile app, you can target your audience by sending to all users, selecting a custom audience, or choosing one or more User Tags.

When creating an announcement, you'll make two selections: the delivery method (how the message is sent) and the announcement type (what kind of message it is). Both are chosen during the content creation step. The sections below cover each in detail.

Delivery Methods

When creating an announcement, select from one of the following delivery methods:

Email (Plain Text)

  • For quick, text-only emails
  • No character limit
  • Displays as a standard text email with no formatting or images

HTML Email (Email Builder)

  • For custom, branded emails or newsletters
  • No character limit
  • Sent to all users with email addresses on file
  • Supports images, buttons, and rich text formatting

Push Notification / Announcement Inbox

  • Send to mobile devices and the announcement inbox on dashboard
  • Most users have push notes set up as banner messages (coming down from the top)
  • No character limit, but best practice is to keep them concise
     

Send as SMS (Text)

  • For urgent or short messages
  • 240-character limit
  • Sent only to users with verified phone numbers (e.g., 31 Active Phone Numbers)
  • Turning this on requires coordination with your CSM or our Support Team.

 

Voice

  • 240 character limit
  • Send to users who have a phone number listed in their directory profile

 

Multi Channel

  • Sends the same message to multiple channels at once (e.g., email + push + SMS)
  • Useful for urgent, time-sensitive, or broad communication

Announcement Types

Announcement types categorize the nature of the message and control the sender name tenants see when it arrives. This is selected on the same page as your content, after choosing a delivery method.

Sender names for each type are configured in the Email Sender Name Settings section of Property Info. If no name has been set, the sender defaults to the site name (or flavor name, if whitelabeled).

  • Property Communications: General operational updates, building news, and day-to-day messages from the property team.
  • Marketing Announcements: Newsletters, promotions, events, and community content.
  • Emergency Messages: Urgent alerts requiring immediate tenant attention. Using this type ensures the message arrives with a sender name that signals urgency, making it immediately distinguishable from routine communications.
  • Transactional Emails: System-generated messages such as booking confirmations and receipts.


Sending Announcements from the Dashboard

  1. Navigate to the Announcements section from the Dashboard.
  2. Click Create Announcement.
  3. Select the Delivery Method (Email, Push, SMS, Voice, or Multi Channel).
  4. Choose the Announcement Type (Property Communication, Marketing Announcement, Emergency Messages)
  5. Compose your message (subject line, body content, and attachments if applicable) and click Next
  6. Determine when your announcement should be sent (immediately or scheduled for a later date).
  1. Select your audience (send to All Users on File, Select Audience User Tag, or Select Custom Audience):
     

    • All Users on File: The announcement will be sent to everyone in your directory.
    • Select Audience User Tag: Send to Users with Specific Tags to target all users assigned one or more User Tags. 

      • Each tag displays the number of users it includes.
      • User tags are dynamic and new users can be added to these tags at anytime
    • Select Custom Audience: Send to a custom audience by filtering your directory by any aspect of a user's profile and selecting one or multiple users (building, tenant, etc.)
      • To select Users, click on the check boxes next to their names or select the bulk action button in the top left to select all users. 
  1. Click Review and Send and then Begin Sending
    • This will send the message to all selected users across the chosen channels.

Sending Announcements from Your App

The mobile app allows Building Admins and Managers to create, schedule, and send announcements from anywhere. You can send announcements using single or multiple channels, just like on the dashboard. When sending from the app, you can reach all users in your directory or target specific groups using User Tags. For custom audience selection by individual user or profile attribute, use the dashboard.

  1. Open the mobile app and go to the Inbox tab.
  2. Click Send.
  3. Choose the delivery method / Channel, and click Next
  4. Choose an option from the Load from a Template dropdown or select compose new content, and click Next.
  5. Choose when to send:
    • Send now, or
    • Schedule it for a later date/time. If you select this, choose the date and time you would like it to be sent.
  6. Confirm the audience and messaging. 
    • All Users on File: The announcement will be sent to everyone in your directory. 
    • Select Audience by User Tag: Send to users with specific tags to target all users assigned one or more User Tags.
      • Each tag displays the number of users it includes.
      • User tags are dynamic and new users can be added to these tags at any time.
  7. Click Send Announcement.
