Coverage Sets and Coverage Versioning

A coverage set is the record of what a tenant or vendor is insured for during a given period: the certificate itself, the policies listed on it, and the values Cove checks against your building’s requirements. Each tenant and vendor has one current coverage set and any number of past coverage sets.

How versioning works

Saving a certificate to Current Coverage replaces the active coverage set and archives the previous one as a past version. Coverage history is never deleted — past versions remain on the tenant or vendor profile with the compliance snapshot that applied at the time. Compliance status, notifications, and the COI management tables are evaluated against the current coverage set only.

The Tenant/Vendor COI Detail Page

The tenant and vendor COI detail page is the central hub for managing coverage. Open it from COI Management > Tenant COIs or Vendor COIs and click the tenant or vendor name.

Status pills appear at the top of the page, for example NON-COMPLIANT, EXPIRED, or CERTIFICATE HOLDER MATCH. The page has the following tabs:

  • Current Coverage — active coverage set, coverage items table, and documents
  • Past Coverage — previous versions with compliance snapshots
  • All Documents — all COI documents across all versions (count shown in tab)
  • Coverage Requirements — coverage requirements configured for this tenant or vendor
  • Notes — notes log (count shown in tab)
  • Activity — activity log (count shown in tab)

Top-right action buttons: Set Coverage Requirements and Edit Tenant.

Editing coverage

Within the Current Coverage tab, two buttons control coverage editing:

  • Edit Current Coverage (pencil icon) — edits the existing version in place
  • + New Coverage Set — creates a new version, archiving the existing one

Coverage items table

Columns: Policy Type, Per Occurrence, Aggregate, Status, Compliance, Holder Match, Effective Date, Expiry Date, Additional Insured, Created At, Updated At, AM Best Rating, Policy Number, Deductible, Object ID.

Documents

Below the coverage items table, a Documents in Current Coverage Set section shows document thumbnails tagged Current Coverage. To add documents to the current coverage set, use Edit Current Coverage. General or older documents can be managed in the All Documents tab.


Tenant COI Management Table

The Tenant COI Management table (COI Management > Tenant COIs) provides a property-wide view of all tenants’ COI status.

Quick Stats tiles at the top: Tenants With COIs, Compliant and Active, Non-Compliant and Active, Expiring Next 60 Days, Expired, Tenants Missing Coverage — each showing count and percentage.

Table columns: Tenant, Expiry Date, Status, Compliance, Category, DBA Name, Object ID.

Status and compliance values are listed under Status and Compliance Values.


Coverage Destination

When uploading a COI, Building Admins and Building Managers choose which coverage period the certificate applies to, rather than always replacing the coverage currently on file. The Coverage Destination selector appears in both the AI-assisted extraction flow and the manual upload flow.

Destination options

  • Current Coverage — saves the certificate as the active coverage set
  • An existing Past Coverage period — saves the certificate to a coverage period already on record
  • A new Past Coverage period — creates a historical coverage period for a certificate that applies to dates outside any existing period

Suggested destination

Cove pre-selects a destination based on the effective and expiration dates on the certificate:

  • Current or future dates — Current Coverage
  • Dates matching an existing past coverage period — that period
  • Any other dates — a new Past Coverage period

The suggested destination can be changed before saving.

Past Coverage uploads and compliance

Saving a certificate to a past coverage period does not change the tenant or vendor compliance status, trigger COI notifications, or replace the active certificate.

Replacing a document in a past period

If the selected past coverage period already has a certificate on file, Cove displays a warning before the existing document is replaced. Confirm to replace it, or select a different destination. An existing document is never overwritten without confirmation.


Coverage Set Forms

The same form is used to create a new coverage set, to edit the current one, and to enter coverage outside the AI extraction flow. It contains:

  • Document Upload — Upload Attachment button (maximum 35 MB per file)
  • Coverage Destination — which coverage period the certificate applies to
  • Certificate Holder — Do All Policies Match Certificate Holder? (Yes / No / --), with the Required Certificate Holder shown as read-only reference text
  • Additional Insured — Do Additional Insured Entities Match?, with the configured entities shown for reference
  • Check which policies apply — a checkbox per policy type; each checked policy expands to show Aggregate and Per Occurrence fields, plus Effective Date, Expiration Date, Additional Insured, and AM Best Rating

Custom policy questions configured by the building team appear in the form for manual entry. 

+ New Coverage Set

Creates a new version. A yellow warning callout reads: “Existing coverage will be replaced — Creating this coverage set will replace existing coverage for this tenant. Previous coverage history will still be preserved and can be viewed on the tenant profile. To make edits or changes to existing coverage, go back and select Edit Current Coverage.”

The form also shows the tenant and tenant category, and the compliance requirements for that category, as read-only context.

Edit Current Coverage

Edits the existing version in place, showing existing documents and pre-populated policy selections. A blue info callout reads: “Editing Current Coverage — Note, if these changes are for a new policy or updated coverage period, it is recommended to go back and select Create Coverage Set. This will preserve historical records and create a new set to be referenced.”

Entering coverage outside the extraction flow

When coverage is entered or reviewed manually rather than through AI extraction, the same fields and structure apply, including policy type checkboxes, Aggregate and Per Occurrence, Certificate Holder match, Additional Insured, and AM Best Rating.

Tips

  • If a certificate holder or additional insured entity does not match your building’s requirements, mark it as a mismatch rather than skipping the field. This keeps the tenant’s compliance status accurate and flags the record for follow-up.
  • If a needed policy type is not in the checklist, add it under COI Setup before it can be selected here.

The same labels appear at two levels: on a tenant or vendor row in the COI management tables, and on an individual coverage item within a coverage set.

Status — tenant or vendor level

  • ACTIVE (green)
  • EXPIRING SOON (yellow)
  • EXPIRED (red)
  • NO COVERAGE (grey)

Compliance — tenant or vendor level

  • COMPLIANT (green)
  • NON-COMPLIANT (yellow/orange)

Compliance — coverage item level

  • COMPLIANT (green)
  • NON-COMPLIANT (yellow/orange)
  • WAIVED (dark pill)
  • EXPIRED (red)

Match columns — coverage item level

  • Holder Match — YES (green) / NO (grey)
  • Additional Insured — YES (green) / NO (grey)
