Guide to Work Orders on Mobile

This guide walks you through the redesigned mobile Work Order experience, covering how the screen is organized, how to update status and assignment, and how to log labor, notes, materials, and attachments through the new Work Log.

Opening a Work Order

  • When you open a Work Order, the header shows the Work Order number, Site and building (if applicable), Suite and Floor, Last Updated and the Tenant.

  • The description appears directly below the header, and you can still move between tickets using the Back Arrow, Previous, and Next.

Updating Status and Assignment

  • Status and Assigned To are shown together near the top of the screen. 
    • Tap the status selector to change the Work Order status, and use the assignee selector to reassign the ticket.

  • Beneath these, All Action button changes based on the Work Order's current status, giving you one-tap access to the most relevant next step.

Your Work Log 

  • Labor, Notes, Materials, Attachments, now live together in one Work Log section. Each category appears as its own card: an empty category shows a plus button to add your first entry, and a category with entries shows a count you can expand to review, edit, or delete items. Categories still needing information show a simple completion indicator, so you can see what's outstanding at a glance.

Logging Labor

  1. Tap the plus button on the Labor card to open Add Labor.

  2. Enter hours and minutes with the increment and decrement controls, then choose a Labor Rate from the quick-select buttons, which surface your most recently used rates.

  3. Tap Other to see the full rate list if you need a different one in the drop-down that populates. Date Worked defaults to today but can be changed.

  4. Advanced: Tap the advanced section to see who the work order was Performed By, if the work order is Billable, and an informational Estimated Cost breakdown (rate, hours, markup, tax, and total), are grouped under the Advanced section. Select save to see a success message

Logging Notes

  1. Tap the plus button on the Notes card to open Add Note. Type a free-form note, or use the saved note dropdown to apply a preset such as Awaiting parts, Inspection — all normal, Preventive maintenance, or Repaired & tested. Tap Rewrite with AI if you'd like help tightening the wording, then save to add the entry to your Notes count.

Logging Materials

  1. Tap the plus button on the Materials card to open Add Material. Choose a Material Category and Material from the dropdowns, then enter the Quantity

  2. Expand Billing & note to mark the item billable or non-billable and add an optional note, then save to update your Materials count.

Logging Attachments/Photos

  1. Tap the plus button on the Photos card to add a picture. Choose Take Photo to capture one with your camera or Choose from Library to select an existing image, then save it to attach it to the Work Order. Saved photos appear as thumbnails you can tap to view full size, or delete.

Reviewing Activity and Work Order Details

Below the Work Log you'll find Activity and Work Order Details, both collapsed by default to keep the screen focused on execution. Activity preserves the history you're used to.
