The Building Calendar gives you a single visual view of scheduled work across multiple operational modules, all in one place. Rather than navigating between work orders, maintenance tasks, inspections, reservations, and events separately, you can see all of that activity laid out on a calendar and filter down to exactly what you need.

The Building Calendar is available to any user who has cross-site access to at least one of the supported data types. The modules that appear are determined by your role and site permissions, so what you see on the calendar may vary. Tenant admins do not have access to the Building Calendar.

The Building Calendar is not enabled by default. If you do not see it in your dashboard and would like access, reach out to your Customer Success Manager or our techsupport@cove.is to enable it.


What Appears on the Calendar

The Building Calendar displays items from up to five modules, depending on your role and site configuration. Each data type is color coded so you can distinguish between them at a glance, and each can be filtered independently using the filter controls at the top of the calendar.

  • Work Orders: displayed on their due date. Filter by category, status, assignee, priority, and more. Work orders without a due date set will not appear on the calendar.
  • Preventive Maintenance: displayed on the PM due date. Only open, confirmed PMs are shown. Projected future PMs are not included at this time.
  • Inspections: displayed on their due date.
  • Reservations: displayed based on start and end time.
  • Events: displayed based on start and end time.

Filters apply per data type, so you can show all reservations while filtering work orders to a specific category at the same time.


Navigating the Calendar

The calendar opens in week view by default. You can switch between three views using the toggle in the top right corner:

  • Week view: the default view, showing all items across a seven-day span
  • Day view: a focused view of a single day's items
  • Month view: a condensed view showing item counts per day. Clicking a count on any day takes you to that day's detail.

Use the Today, Back, and Next controls in the top left to move through time.


A Note on Work Orders and Due Dates

Because work orders are placed on the calendar based on their due date, work orders without a due date will not appear

  • If your site uses issue types that automatically set due dates, those work orders will show up automatically. 
  • For other work orders, a due date must be set manually on the work order record for it to appear on the calendar.
