Tenant admins can register visitors for themselves and members of their organization from the dashboard and the mobile app. When a visitor is registered, they automatically receive two notification emails: one at the time of registration and a second the morning of their visit.
The dashboard supports registering one visitor at a time or multiple visitors at once using the Paste a List option. Both methods share the same visit details and notification settings.
Register Visitors on the Dashboard
- Navigate to the Visitors module and open any day-to-day management page.
- Click + Add a Visitor.
- Fill out the Host Details section:
- Host: Select the host the visitor is visiting. If you are registering on behalf of another member of your organization, select their name here.
- Note: A Floor field may appear if your site is configured to require floor selection at registration.
- Under Visitor Details, choose how to add visitors:
-
Individual
- Enter the visitor's First Name, Last Name, Visitor Email, and Visitor Phone (optional).
- Select the visitor type from the dropdown (Visitor or Vendor).
-
Click + Add Visitor to add additional visitors to the same registration.
-
Paste a List
- Click the Paste a List tab.
- Paste your visitor list. Enter one visitor per line, with name and email separated by a comma. The platform will infer first name, last name, and email from each row. If your site has SMS notifications enabled for visitors, phone number will also be detected.
- The platform will review each row and display how many entries are valid and how many have issues. Click into any flagged row to see the details and make corrections. Required fields are based on your site's visitor settings, so if email is not required at your site, a missing email will not be flagged as an error.
- You can also add individual visitors manually within the same paste list flow using the add visitor option. Select the visitor type (Visitor or Vendor). This applies to all visitors in the list.
- Watchlist matching does not display inline during the paste list flow. Once visitors are submitted and visits are created, standard watchlist alerts and notifications will fire as expected.
-
Click Next: Review to proceed.
Choose Visit Type
- Single Visit: Select a single date and estimated arrival time.
-
Multiple Dates: Click + Add Another Date for each additional date and time. Edit each using the calendar icon.
-
Recurring Dates: Choose a visit interval (every day, exclude weekends, or custom days of the week), then set the start date, end date, and estimated arrival time.
-
Access Window (building-dependent): If your site has an access control integration and this feature is enabled, the access window determines when the visitor's pass is valid.
- Default: Displays the site's configured default access window.
- Custom Hours: Override the default by setting a custom start and end time for this visit. The custom window will override the site default. If the host does not select custom hours, the site default applies.
- Parking Validation (if applicable): Check Create Parking Validation? if parking validation is needed for this visit.
- Fill out the Other Details section as needed:
- Note to Visitor from Host: Included in the visitor email.
- Notes for Building: Internal only, not shown to the visitor.
- Reason for Visit: Included in the visitor email.
- Organization Name: Optional.
- Under Notification Settings:
- Check Send Registration Confirmation Email to send a confirmation to yourself as the registering user.
- Under Additional Emails, add any email addresses that should receive visitor notifications. Separate each with a comma. Select which notification types they should receive: Registration/Confirmation, Check-In, and/or Updates/Cancellations.
- Click Complete Visitor Registration.
