Approval-based open enrollment allows new users to request access to your app on their own, without requiring a building admin or tenant admin to add them manually in advance. This is useful for sites with a high volume of users to onboard, or where the building team wants visibility and control over who is granted access before an account becomes active. Once enabled, prospective users can submit an account request directly from the sign-up screen, and a designated approver reviews and acts on the request before the user can log in.

This feature requires coordination with your Customer Success Manager. 


How the enrollment request flow works

When a new user opens the app and enters their email address, the system checks for an existing account and any matching email domains associated with your site's tenants. If no match is found, the user is prompted to submit an account request.

The user completes the following steps:

  1. Enter first name, last name, and email address
  2. Select the Site they are associated with, from a list of sites tied to the app
  3. Select their Tenant at that site, from the tenants available at the location they chose
  4. Submit the request

Once submitted, the user's account is created with a pending status. They will not be able to log in until their request has been approved.


Reviewing and approving requests

When a user submits an account request, it appears in the Pending Approvals section of the Directories module on the dashboard. Building admins, building managers, and tenant admin user managers can view and act on pending requests.

From the Pending Approvals section, you can:

  • Approve a request, which activates the user's account and notifies them by email
  • Deny a request, which rejects the account and notifies the user

Until a request is approved or denied, the user cannot access the app.


What users see while they wait

After submitting a request, the user sees a confirmation message letting them know their request is under review. They are not able to log in or access any part of the app during this time.

Once approved, the user receives an email notification and can log in as normal.
