Using a Driver’s License Scanner for Visitor Registration and Check-in

A driver’s license scanner can speed up visitor registration and check-in by automatically populating visitor details during the registration and check-in process. Instead of manually entering names, building staff can scan a visitor’s driver’s license while the New Visitor form is open, and the system will automatically populate the first and last name fields in the visitor form

License scanning requires a compatible barcode scanner that supports driver’s license parsing. We recommend this scanner. These scanners read the 2D barcode found on driver’s licenses and automatically capture identity data such as name and other fields.

Driver’s license scanning does not check in existing visitors. To check in an existing visitor, scan their QR/barcode or search for their name manually.


How license scanning works

Driver’s licenses contain a 2D barcode (PDF-417) that stores structured identity information. Compatible scanners read this barcode and send the data to the system, which automatically fills in the first and last name form fields.

When a license is scanned during registration:

  1. The scanner reads the barcode on the license.

  2. The visitor’s first and last name is automatically added into the visitor form.

  3. Staff can continue adding additional visitors or complete the registration process.

Note: Driver’s license scanning only works when the New Visitor form is open. Scanning a license from the main visitor dashboard will not populate any information.


Setting up the scanner

  1. Connect the scanner to the computer running the dashboard.

  2. Follow the manufacturer’s instructions to install and configure the scanner.

  3. Ensure the scanner is configured for driver’s license parsing.

Once connected, the scanner works like a keyboard input device and automatically enters the scanned data into the active form field.


Registering visitors using a license scanner

  1. Navigate to Visitor Home page and click Add Visitor.

  2. Add the Tenant and Host information.

  3. Scan the driver’s license while the form is open and the first and last name will automatically populate in the form.

  4. Enter additional visitor information if needed or required.

  5. To register multiple visitors, click Add Visitor and scan the license. Repeat the process as needed.
