Checking visitors in allows property teams to track who is actively on-site and ensure visitor access aligns with scheduled visits. Visitor check-in can be completed manually from the Dashboard or automatically through access control, depending on how the property is configured.

The Visitors module is accessible to Building Admins, Building Managers, Security Managers, and Tenant Security Managers. All roles can check in visitors, print badges, undo check-ins, and reset credentials.

Navigation varies slightly by role:

  • Security Managers see Visitor Home, My Visitors, Vendor Visitors, All Visitor Directory, and Watch List.
  • Tenant Security Managers have a restricted view limited to visitors associated with their tenant when that setting is enabled by the property team.

All visitor check-in actions start from the Visitors module in the Dashboard. The Visitor Home page helps teams quickly find the right visitors using predefined views such as Expected Today, Checked In, and All Scheduled, along with search and filters. Only visitors with a visit scheduled for the current date are eligible to be checked in.


Checking In an Individual Visitor

Use individual check-in when a single visitor arrives and needs to be checked in manually.

  • Navigate to Dashboard → Visitor Home

  • Use the Expected Today view, search, or filters to locate the visitor

  • Confirm the visitor’s status is Not Checked In

  • Select Check In button from the visitor’s row

After check-in, the visitor’s status updates immediately and the system records the check-in time automatically. The visitor will now appear in the Checked In view.

For visitors with recurring visits, the Visitor Details drawer displays the recurring visit dates including the start and end dates and the specific days of the week the visit recurs.

 


Checking In Visitors in Bulk

Use bulk check-in when multiple visitors arrive at the same time.

  • Navigate to Dashboard → Visitor Home

  • Use Expected Today or All Scheduled to find the relevant visitors

  • Select the checkboxes next to each visitor you want to check in

  • Review your selection to confirm accuracy

  • Select Check In from the bulk actions menu

Each selected visitor is checked in individually, and a check-in timestamp is recorded for each visitor. Once completed, those visitors move into the Checked In view.


Automatic Check-In Using a QR Code at a Turnstile

Visitors can also be checked in automatically when they scan their QR code at a connected turnstile or entry point.

What Happens When a Visitor Scans Their QR Code

When a visitor scans their QR code:

  • The system validates the QR code against the visitor’s scheduled visit

  • If the visit is valid for the current date and allowed access window, access is granted

  • The access event automatically checks the visitor in

  • The check-in time is recorded and reflected in the Dashboard

No manual action is required by property staff.

What the Property Team Sees

After a successful scan:

  • The visitor’s status updates to Checked In

  • The check-in time reflects when the QR code was scanned

  • The visitor appears in the Checked In view of the Visitor home table

When Automatic Check-In Does Not Occur

Automatic check-in will not occur if:

  • The visit is scheduled for a future or past date

  • The visitor arrives outside of allowed access times

  • The QR code is invalid, expired, or already used

  • The visitor is associated with a different property

In these cases, access is denied and the visitor remains visible as Not Checked In in the Visitor table.


Photos and Badges During Check-In

Depending on how the property is configured, visitor check-in may include capturing a photo and issuing a visitor badge. These steps support on-site identification and security but are not required at every property.

Visitor Photos

Some properties require a photo to be captured as part of the check-in process.

  • A photo can be taken during individual manual check-in from the Dashboard

  • If photo capture is required, individual check-in cannot be completed until a photo is taken

  • The photo is associated with the visitor’s active visit

  • Photos are visible to authorized users for identification purposes

  • Bulk check-in does not prompt for photo capture.

    • When visitors are checked in using bulk actions, the system completes the check-in without requiring photos, even if photo capture is enabled at the property.

Visitor Badges

Badges can be issued during or after check-in.

  • Badges are typically printed once a visitor is checked in

  • Badge details are tied to the visitor’s active visit

  • Badges help staff visually identify visitors while they are on-site

  • Badge formats and requirements depend on property settings

Issuing a badge does not change the visitor’s check-in status.

Automatic Check-In and Photos or Badges

When a visitor is checked in automatically through a QR code scan at a turnstile:

  • The visitor is marked as Checked In without manual interaction

  • A photo is not captured automatically

  • A badge is not printed automatically

If a photo or badge is required, property staff must complete those steps separately after the automatic check-in.


Credential Status

For properties with an access control integration, the visitor table includes a Credential Status column that reflects whether a visitor's access credential has been successfully created. Statuses are:

  • Scheduled (grey): The credential is queued and will be created ahead of the visit.
  • Success (green): The credential was created successfully.
  • Failed / Retry (red): The credential failed to be created. When a credential fails, the visitor's first and last name will appear in red, and both the check-in button and badge print icon will be disabled.

If a credential shows a Failed status, click the retry icon next to the visitor to attempt to create the credential again. If the retry continues to fail, re-register the visitor as a new visit.

Note: A failed credential means the visitor's access pass will not work at turnstiles or entry points until the credential is successfully created or the visitor is re-registered.


Undo Check-In

Check-ins can be undone from the Visitor Home table when needed. Undo check-in is not available for visits listed in the Past tab or for dates before today.

At non-ACS sites: Undoing a check-in removes the check-in timestamp and returns the visitor to Expected status.

At ACS-enabled sites with Activate on Check-In enabled: Undoing a check-in also revokes the visitor's credential in the access control system in addition to resetting the check-in status.


Reset Credentials

The Reset Credentials bulk action re-creates visitor credentials for selected visits. This is needed when a building's setup changes in a material way, such as when a new access control integration is enabled after visitors have already been registered, or when an ACS system is replaced. Without resetting credentials, previously registered visitors may not have valid passes for the new integration.

To reset credentials:

  1. Navigate to the Visitors module and select the visits that need credentials reset.
  2. Open the Bulk Actions menu and select Reset Credentials.

The system will re-create credentials for all selected visits in the background.


Important Behavior to Know

  • Visitors can only be checked in on their scheduled visit date

  • Automatic and manual check-in follow the same status rules

  • A visitor can only be checked in once

  • Scanning a QR code after a manual check-in does not create a duplicate check-in

  • If Activate on Check-in is enabled for the property, a visitor’s access is not enabled until they are checked in, either manually by staff or automatically through a valid access scan

  • If a visitor's credential has failed, the check-in button and badge print icon will be disabled until the credential is successfully created or the visitor is re-registered.

Related Actions

  • Visitors can be checked out later using the Check Out action

  • Visitors who never arrive remain Not Checked In

  • Bulk actions only apply to visitors currently visible and selected in the table

  • Hosts can receive an SMS notification when their visitor checks in if SMS notifications are enabled at the site.
