Work Order Module Setup & Configuration

We recommend setting up your Work Order module in the following order:

  1. Setup Buildings, Floors, and Suites in the Property Information section
    Set up this section first to allow users to add a location when submitting a work order and to include locations when creating recurring work orders.
    Each of the following corresponds to a sub-page in the Work Order Setup section.

  2. General Setup
    •  Configure the Work Order scheduling mode, tax rates, ID prefixes, and more. 
  3. Issue Types
    • Add, edit, or delete work order categories or issue types 
    • Attach optional consent forms or questionnaires to issue types for users to fill out when submitting work orders 
    • Configure coverage hours, payment requirements, and due dates for issue types
  4. Work Groups
    Work Groups help Admins, Engineers, and Employees see the categories and issue types most relevant to them.
    • Add or edit Work Groups
    • Add building team members to Work Groups
    • Configure notification hours for Work Groups based on shifts and open hours
  5. Routing & Assignments
    For each Category or Issue type: define the Default Assignment or which Work Groups are notified about new tickets. Note: If routing by Category, all issue types within that category will adhere to those settings.
    • Configure routing and assignments based on location
    • Assign all work orders within a category to specific users
    • Assign all work orders for one issue type to specific users
    • Route notifications for all work orders within a category to Work Groups
    • Route notifications for a work order issue type to Work Groups
  6. Notifications
    Property-Wide Notification settings for all work orders
    • Tenant Notifications ("Created for" field)
    • Assignee Notifications
  7. Escalations
    Escalations are automated rules you can apply to specific work order issue types to help ensure
    tasks are completed within a required timeframe.
  8. Materials
    A list of material presets (Name, Price, Billing info) and categories that can be added to a ticket.
    • Create Material Categories
    • Add materials to those categories
  9. Labor Rates
    • Add or edit labor rates
    • Configure whether or not a labor rate is billable, if tax should be applied, or if a tenant markup should be applied
    • Configure cost codes and rules 
  10. Recurring Work Orders
    Create a Recurring Work Order to automatically open a Work Order on a repeating interval (Weekly, Monthly, Etc).
  11. Tags
    Work Order Tags can be used to organize work orders for specific projects or events
    • Add and edit Work Order Tags
