Adding and Managing Tenant Organizations

Tenants represent the companies or organizations that occupy space within your property. Each tenant record includes details such as the company name, logo, suite location, and associated users. All user profiles in your directory must be tied to a tenant, so it’s important to ensure every organization is correctly created and maintained.

Adding tenants allows you to manage access to reservations, visitor management, work orders, and other modules specific to each organization.


Adding a New Tenant

  1. Navigate to the Tenants page in your Directory module.

  2. Click New in the upper right corner.

  3. Complete the tenant form. Only the Name field is required; all other fields are optional.


Understanding Tenant Field Options

Tenant Details

  • Name (Required): The company name as it should appear in your directory.

  • Email Domain(s): A list of approved email domains for self-enrollment (e.g., @company.com).

    • Separate multiple domains with commas.

    • When added, users registering with these domains will automatically be assigned to this tenant.

  • Doing Business As: An alternate or public-facing name for the company.

  • Select User Tags: Use this field to apply user tags (created in the directory’s Tags page) that are automatically assigned to everyone in this tenant group. This provides an efficient way to segment users and control which highlights and events each tenant group can see.

  • Logo: Upload the tenant’s company logo.

  • Building Location:

    • Select the tenant’s floor and suite number from the dropdown.

    • Add a Location Label (e.g., “Second Floor – Suite 203”) to display on directories and visitor emails.

  • Contact Information: Optional fields for storing tenant contact details such as phone numbers or emails.


Tenant-Specific Module Settings

Each of the below modules can be configured per tenant:

Reservations

  • Credits: Assign reservation credits to control amenity access (if using credits at your building). 

  • Reservation Mode:

    • Limited – Only tenant admins can make reservations.

    • Everyone – All users in the tenant can make reservations.

Visitor Management

  • Restrict Tenant Host View: If checked, hosts only see visitors they have registered or are hosting.

  • Visitor Watch List Access: Grants tenant admins and security managers access to their tenant’s watch list.

  • Show Employee Directory: Enables an internal employee directory for the tenant.

  • Show Employee Directory on Check-In Tablet: Displays tenant employees on visitor check-in kiosks.

  • Send Visitor Notification: Sends an email to the host when a visitor arrives.

  • Visitor Instructions: Customize the message visitors receive after being registered.

  • Notify Check-In Emails: Add additional email addresses to receive visitor check-in notifications (separate with commas).

  • Visitor Check-In Contact Info: Add a phone number for security to contact when visitors arrive.

Access Control

If mobile or keycard access is enabled for your property, configure tenant-specific access settings here.

Work Orders

  • Contracted Material Markup / Labor Markup: Enter custom percentages for tenant billing.

  • Billing Lease Code: Identify billing codes tied to lease agreements.

  • Tax Exempt: When checked, tenant work orders will not be taxed. (Note: This applies only to future work orders.)

Certificates of Insurance (COI)

Select vendor COI categories that apply to this tenant.


Viewing Existing Tenants

Once you’ve added tenants, you can easily view and manage them:

  1. Navigate to the Directory module in your dashboard.

  2. Select the Tenants tab to open a table view of all tenants in your directory.

From this table, you can:

  • Click Edit to update tenant details.

  • Click the trash can icon to delete a tenant 
    ⚡ Note that this will also delete all users within that tenant.

  • Click a tenant’s name to open their profile page, which includes:

    • A list of users associated with that tenant.

    • Lease information for work order billing.

    • Account charges and credits (if applicable).


Editing or Deleting a Tenant

  • Edit a Tenant: Click the Edit icon beside the tenant’s name to update their information.

  • Delete a Tenant: Click the Trash icon to remove a tenant from your directory.

    • ⚠️ Deleting a tenant also removes all users associated with it.
