User Access

Users are granted access to the cove App and the associated site (Property) through two methods:

  1. Email Domain Access
  2. User Directory Access

Email Domain Access

Email Domain access is our recommended approach to granting your tenants and their employees access to the application.

How does it work?

  • When adding a Tenant to the Tenant Directory, we will include an Email Domain associated with the tenant. We have the capability to include multiple domains for each tenant if applicable.
  • Any employee with a work email address that uses that email domain will be able to log in to the app and be granted access.
  • If someone loses access to their work email (they’ve left the company), they’ll no longer be able to log in to the app.
  • Any user that is granted email domain access and signs in will appear in the User Directory and as a default will be assigned as a Regular User. This can be changed by a building admin using the Edit User option.

User Directory Access

User directory access refers to the process of importing a list of users or adding users individually to the user directory.

How does it work?

  • An individual user or a CSV file of multiple users can be added to the User Directory in the Admin Dashboard.
  • In order to add a user to the User Directory, you will need the input the first name, last name, email address, tenant, and User Role.
  • After being added to the User Directory, a user can log in to the app using the email address included in their User profile.
  • To actively remove access from an individual user, you can edit their User Status from “Active” to “Suspended”.
Important Note: Only users that are in the User Directory (meaning they were either added to the User Directory or have logged into the app using Email Domain access) will be able to receive Announcements sent from the Admin Dashboard.
