User Roles
A User Role determines the level of access each person has to the app and dashboard. User roles can be edited individually or in bulk from the Directory table.
Tenant Roles
Regular Users
The majority of your users will be Regular Users. They have access to do the following:
- log in to the Mobile App
- see any Highlights, Events, and Services on the home page of the Mobile App.
- use the Access Control integration if setup
- make reservations that do not cost money or credits.
- make reservations that cost money or credits (only if permissions are granted)
- They cannot submit work orders
Tenant Hosts
Tenant Hosts are usually the point of contact to manage visitors coming to their offices. Their permissions provide access to the web dashboard where they can register guests on behalf of others and view all visitors registered for their office. They have access to do the following:
- register visitors
- bulk upload visitor lists
- view visitor registration logs for their office
Tenant Admins
Tenant Admins are a specific user role for your main points of contact for each tenant. They have a higher degree of access to the building application. They have access to do the following:
- log in to both Mobile App and Web Dashboard (mybuilding.cove.is)
- book amenity spaces that cost money or credits (customizable)
- see reservation history for all users within their tenant group.
- submit Work Orders and see Work Orders submitted by others within their tenant group.
- register visitors
Building Team Roles
Reservation Manager
A Reservation Manager is a specific user setting for building team members who only need to see reservation data. This access is given typically to administrative assistances or front desk managers. A Reservation Manager has access to do the following:.
- view amenity reservations
- make reservations on behalf of tenants regardless of space rules
- view COIs
- manage Activity Log
- manage Watch List (cannot make edits)
- view waivers
Security Manager
A Security Manager is a specific user setting for security team members. This access is typically given to Security Guards or Front Desk managers. A Security Manager has access to do the following:.
- view amenity reservations
- make reservations on behalf of tenants regardless of space rules
- view COIs
- manage Activity Log
- manage Watch List (cannot make edits)
- view waivers and add manual waiver entries
- manage work order requests
- view, check in, bulk upload, and edit visitors
- print visitor badges
- manage resource checkout
- view and check in packages
Building Manager
Building Managers have one of the highest level of access to the application. This access is typically granted to the Property Management team. As a Building Managers, they have access to do the following:
- edit property information, Setup Items, Space Management, and other settings.
- create new tenants, users, and edit permissions for any regular users, tenant hosts, reservation managers, and tenant admins.
- create Highlights and Events as well as send Announcements to Users
- make reservations on behalf of tenant regardless of space rules
- view all reporting under Reports & Analytics.
- view and manage COIs and COI setup.
Building Engineer
A Building Engineer is a specific user for building team members who will process Work Orders. This user role provides a specific level of access to Work Order information on both the Mobile App and Web Dashboard. As a Building Engineer, users have access to do the following:
- log in to Web Dashboard and see all work orders
- self-assign work orders and assign work orders to others
- create a work order on behalf of a tenant
- create on-demand Tasks.
- see all work orders assigned to them or a group they are in in the Mobile App
- leave notes for tenants and invoices on work orders
- log in to Web Dashboard to see Reservations Tab
- view COIs
- view and edit Activity Log
- view and edit Watch List
Building Admin
Building Admins have the highest level of access to the application. This access is typically granted to the Property Management team. As a Building Admin, they have access to do the following:
- edit property information, Setup Items, Space Management, and other settings.
- create new tenants, users, and edit permissions for other users.
- create Highlights and Events as well as send Announcements to Users
- make reservations on behalf of tenant regardless of Space rules
- edit Work Order Groups and change Work Order categories and issue types.
- approve Billing for Work Orders - can mark a Work Order as Closed and Billing Verified
- manage Work Orders and Preventative Maintenance settings and data.
- view all reporting under Reports & Analytics.
- view and manage COIs and COI setup.
